Job Description

We are seeking a fast learning office assistant who will support our lead executive staff in the daily operations of our company. 

The Position

• Serve as a backup in various departments
• Support the administrative team by assisting with, travel arrangements, reports and otherwise supporting the CEO, Agency Administrator, and management
• Read and route mail, bills, and phone calls to the appropriate person/department
• Coordinates prepare and records meetings
• Creates and manages electronic systems (i.e. phone system) and the accounts associated with that system
• Place orders and manage changes (i.e. brochures, business cards)

Qualifications

• Strong experience with the Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.)
• Excellent calendar management skills
• Strong communication skills
  • and multilingual in either Russian, Polish, Ukrainian,  or nearby languages
• Strong organizational skills
• High attention to detail
• Experience working with confidential/sensitive material in a discreet and professional manner
• Ability to prioritize and manage a heavy workload
• Ability to work under pressure and within tight deadlines
• Flexibility and aptitude for multitasking
• Excellent interpersonal, verbal, and written communication skills
